THE OLD PARK FARM GARDEN HOLDERS ASSOCIATION CONSTITUTION
OBJECTIVES
The aim of the Association is to promote and maintain good gardening practices on the allotments.
MANAGEMENT AND ASSOCIATION AFFAIRS
This will be done by the elected management committee. All members of the management committee must be paid up garden holders. The committee will comprise of a Chairperson, a Secretary and a Treasurer plus five other committee members. The committee has the power to co-opt other garden holders whom they feel would be an asset to the committee.
MEMBERSHIP OF THE ASSOCIATION
Membership of the Association is open to allotment holders only.
ELECTION OF OFFICERS
All officers shall serve on the committee for one year, and seek re-election at the next A.G.M. this to include the auditor. The Annual General Meeting (A.G.M) is open to all garden holders. Anyone wishing to become a member of the committee must give notice of their intention in writing to the Secretary, complete with the names of the proposer and seconder at least fourteen days before the A.G.M. The committee will meet bi-monthly whenever possible. The A.G.M. will be held on the third Sunday of march of each year. Notice of the A.G.M. will be posted on the notice boards at least 28 days prior to date of the meeting. A quorum shall be made up of at least four ordinary member of the committee plus at least 2 members of the administration, Chairperson, Treasurer or Secretary.
INSURANCE AND OTHER ACTIVITIES
The committee shall be responsible for buying insurance for both gardeners and cover for other persons invited on to the allotments in the form of public liability. The committee shall also have powers to carry out any other legal activities that support and furthers the aims of the Association.
DISPUTES
Any disputes shall be settles by the management committee. All disputes to be in writing and handed to the Secretary unless the dispute concerns the Secretary, should this be the case it will be handled by the Treasurer or Chairperson.
FINANCE
All funds generated by the Association will be controlled by the committee to be used for the general upkeep and betterment of the allotments. Excess funds will be banked in an account at Lloyds TS on Bracebridge Drive. All the Associations accounts shall be audited annually at least two weeks prior to the A.G.M. these will then be presented at the A.G.M.
NEUTRALITY OF THE ASSOCIATION
The Association shall at all times be open, accountable, fair and balanced in it’s decision making. The Association shall at no time discriminate against any member or person that the association comes into contact with on the ground of race, gender, age, religious belief, socio economic status or sexuality.
CHANGES TO THE CONSTITUTION
Any changes to the constitution must be approved at an A.G.M. by a two thirds majority of members voting. Any proposed changes to this constitution must be in the hands of the secretary at least 14 days before the A.G.M.
DISOLVEMENT OF THE ASSOCIATION
Should the management committee feel it would be necessary to dissolve The Old Park Farm Garden Holders Association it will an extra-ordinary general meeting. This meeting will be to decide the disposal of any funds left.
OTHER MATTERS
Any matters for which provision is not made in this constitution shall be decided by the committee at its discretion, and shall be reported to the next Annual General Meeting for endorsement or further direction.
