For info these are the minutes from the last committee meeting as held above.

Present: Steve Yorke, Steve Williams, Steve Medcalf, Jane Bowden, Ronnie Gayle and Jackie Medcalf.

Apologies: Phil Hilsden and Paul Marshall (leaving association).

Chippings: Jackie made contact with Darren who now has key. Has put notice on annex gates re chippings being dropped there.

Audit. Kay Graham has agreed to act as auditor.

Keys. Still 4 gardeners have not responded to letters re keys. Old locks and a few keys in tin in Committee room for emergency use.

Chairman: Nothing to report at the moment.

Treasurer: Healthy balance in bank.  Not all compost sold but Jackie did a stock count and we have left what we should have. Will not order more until present stock sold.

Secretary: The proposed rent increases will be confirmed at Forum meeting next week. Ours are due 2016. Suggest we put on agenda at AGM for a vote on whether to stagger rise.

Lease: Meeting at council informative. Since then Jackie offered mediation services of NVS has meeting there on 9th Feb hopefully will be able to report back to AGM.

Format for AGM.

Main topics for discussion rent and problems with lease. Students from Nottingham Uni doing research project and also the student grandson of John Menzies wishes to do a film project. Both to present at meeting.

Nomination forms need to be done.

Jackie to advertise, web and notice boards.

Pre AGM meeting set for March 8th.

Received complaints from gardeners re dogs fouling the main pathways. Notices to go up.

Skip: Jackie will order a skip in early March to get rid of rubbish from two derelict gardens that have been cleared by new tenants.

AGM Error

Hi All,  We have made an error on the timing of the Annual General Meeting on the 15th March.  In the last posting on this site it reads that it will be at 10am,  this should of course read 10:30am.  Apologies to all for the confusion it was a typing mistake or possibly a senior moment?

The Annual General Meeting will be held on March 15th 2015 at 10 am in the association poly-tunnel.

Could we ask that you please make every effort to attend as your views and votes are needed on some important matters this year including:

  • How we manage our next rent increase.
  • A possible new constitution.

These matters concern you personally and this will be your only opportunity to discuss them and vote on how they will be implemented.

There will be a presentation where you will be invited to take part in a Nottingham University research project into gardening and health and have a chance of winning £100, as part of this you can have your allotment soil tested to learn its Ph level and nutrient content,  this is an offer and not obligatory as part of the above.   You will also have the opportunity to take part in a documentary film to be made about your allotments.

Another issue we need to address is that due to gardeners leaving us we need new active committee members.  To become a committee member you will need to download and fill in this form – Click Here to download and print it.

If you have any other items you wish to be discussed would you please submit them briefly in writing to Jackie or any other committee member before the date of the AGM.

Potato Growing

We bought our seed potatoes this week.  I know that growing potatoes is not rocket science, but if you are like me and a fairly hopeless gardener then this may be of some small use to you.  Its a guide to growing them which I picked up at the garden centre at the same time and which I have turned into a PDF file for anyone to read.  Click on the link below to have a look for yourself.

For the information of everyone the Annual General Meeting will be held on 15th March 2015 at 10:30am in the association hut or poly tunnel.

There are some important issues this year which need decisions being made which will affect you all personally and financially, the AGM is your opportunity, not only to air your views, but to actively vote on the decisions which will be taken.  This will be your only opportunity this year to affect the running of the association unless extraordinary general meetings are called.  If you don’t attend your views will not count and your ability to decide on these issues won’t either.  It is important you attend if you wish to democratically affect the running of YOUR association.

The following items so far are on the agenda for discussion:

  • Future Rent Increases – the council will be imposing new rent increases on us next year, however we have some flexibility on how we deal with this as an association, details will be given on how much this will cost you and how this could happen.
  • Association Lease and Trustees – There will be further information on the ever looming issue we have over the lease we have with the city council to run our allotments.
  • Election Of Committee Members – As we do each year the current committee members will be standing for re-election.  Any nominations for election of new members to the committee must be proposed in writing via nomination forms available either from Jackie MEDCALF or the main notice board nearer the time, or downloaded from the link below,  and then given to any current committee member by the 1st March 2015 in accordance with the constitution which can be found elsewhere on this site.
  • Other items for discussion – If there are items you wish discussed at the AGM which concern you personally please submit them, again, in writing to any member of the committee before the 1st March 2015.

Old Park Farm Committee Membership Form

Lastly combined rent and water bills for the first half of the year will be sent out in the middle of February 2015.  These MUST be paid in full by the 1st April 2015 or contact made with a member of the committee.  Failure to do either of these will result in eviction from your allotment from 1st April 2015.

 

We have received numerous complaints about a dog or dogs fouling the footpaths more particularly the main footpath down around the crossroads / main car park area and down as far as the car park adjacent to Hillary’s Blinds.  This has been going on for some time now and it was hoped that the owner(s) of the offending dog(s) would start clearing up after them as has always been the case so far.  Can we ask that care is taken over this matter and that whomever is allowing this to happen makes sure it stops.  It is unfair on the vast majority of garden users who do not bring dogs to the allotments that they have to put up with this.  Should it continue then further steps to ensure it does not will have to be taken.

Just for the information of you all.  Despite the key change there has been yet more petty pilfering in some of the gardens.  This appears to point a finger at one of our own again as there seems to have been no forced entry via any gate or fence.  Just the usual advice of not keeping anything of value in your sheds as there are few people about at this time of year to keep an eye on things.
