Allotment community work day.

First of all big thank you to those that helped out last month I am sorry it was all a bit confused at the start but we did get some jobs completed we aim to be a bit more organised this time. On Sunday 17th we will be looking to trim the boundary hedges and cut back undergrowth, weeding the polytunnel in the community area, ongoing building works to the community room and more than likely the start of a long term changes to the area of allotments near the main gate. If you have hedge shears or strimmers it would be helpful if you come equipped.

Data Privacy Forms

Ok, guys, I must have clocked up a couple of miles walking around our site over the last couple of weeks looking for people to give their forms to. I have been to everyone’s allotment at least 8 times yet I still have many forms left. Postage is expensive these days and has to come out of the association funds so I am reluctant to post them. I asked for some proactiveness from you SO if you have not got a form yet please text me when you are likely to be at the allotments and I will endeavour to find you. There are quite a few of you who had the forms and not returned them. Someone said to me yesterday that they would get around to filling it in soon, well there are 79 people registered on this site, which means 79 data entries never mind the sorting of who has and who has not got emails or mobile phones, so you may be laid back about it but its all extra time for me and Steve to sort out. So “in your own time” is not helpful, to be honest. There are 5 or 6 allotments that are not being actively worked on if you are giving up then you need to tell me please and prepare for departure by removing all your possessions and rubbish off site. If you know your garden is one of these then I suggest you talk to me as i don’t have time to chase after you and you will not be offered a new tenancy in September if you don’t. This is the time of year when I should have very little to do association wise except our own garden, but there is a lot happening politically and locally and some of it has not been pleasant to deal with.

So can you at least please help out by getting these forms filled in and returned and help sort what should have been an easy operation.

This association only keeps personal information on tenants of these gardens.  Information may also be kept on those regular helpers or who share a tenancy. The only information we collect is Name, address, phone numbers and email addresses. This data may be kept on both a secure computer database and as a paper record. Information may be kept on someone’s personal skills where offered which may be useful to the association in solving a problem on site. We also record the pension or income support status of tenants to allow for the appropriate rent discount for those tenants. This information will be used only for the management and administration of the association and will not be disclosed to any third party unless the association is required to do so by law or in compliance with legal obligations. Your personal information will not be shared with any other organisation. Tenants have a right to inspect the information held on them by the association on request.

The following has been received from the allotment admin department at the city council.

Unfortunately, I have to report that it seems several organised break-ins have occurred on allotment sites across the city recently. Some of the break-ins seem very similar in nature to a series of break-ins two to three years ago.

It would be sensible if possible to continue to consider ways of improving short-term site security and the storage locations of any plant and equipment.

In view of the above, you are reminded to always keep all main gates locked.  Do not let anybody in who you don’t know or who haven’t got a key.  If they don’t know the secretary’s name they should not be on site.

Data Protection

Over this weekend we will start to distribute data permission forms and also in some cases, you will be asked to update your contact details. your cooperation is asked for.  this is a requirement of a new law designed to protect you from unwanted intrusion which is a good thing.  However, to allow us to communicate with you and therefore manage your tenancy and this association we are asking you to comply with our requests.

In the first instance to save on postage costs we will try to get these to you personally. it would be helpful if you are not around this weekend or during the day next week if you could text your availability to me.  I will also use this opportunity to check shared tenancy arrangements with you.

This is an arduous administrative task and when we have your forms we then need to log those preferences. so please be proactive and help us out.  A new red post box by the main notice board will be provided for ease of your reply.

This has to be a yearly exercise but starting from this October we will combine it with the rent bills and it will form part of the yearly tenancy agreement.

Community Work Day – Update

The first community workday was held on Sunday 15th April at which we had hoped to carry out a series of maintenance jobs needed on the site.  The turnout was very disappointing as only two allotment holders, as well as the usual committee members, turned up to do the work.  The consequence of this obviously meant that only a small amount of the work we wanted to get done was carried out.  In any event many thanks to Steve PORTER and David KIRKHAM who turned up to help on the day.

Firstly, thank you for those few who made the effort to attend on a cold Sunday morning or sent apologies for not doing so (5 only). As only 6 non-committee members attended there are a couple of points that I wish to summarize as they affect everybody.

Inspection 2018. Again please remove all barbed wire from your gates and fences as instructed last year at that AGM, also, see the Health and Safety Guidelines published today which re-iterate this.

We can no longer expect Community Payback to be on site as often as they have been. Communal jobs, therefore, need to be done by us. The third Sunday of the month starting in April will be a day of community jobs that need doing. We are hoping that many of you will be prepared to offer a couple of hours on a regular basis.

I received notification on the Friday before the meeting that due to council budgets there will be a massive hike in direct let allotment rents to 56p per sq mt over next 4 years this is the equivalent of our charges being £240 per garden per year. This will have a massive impact on the way our rent is set and looks as if it will be based on good management of the site and determined by the work we have done towards the new lease and subsequent management agreement.

The BBQ this year will be on Saturday 1st September.
